What are Message Templates?

Message templates are pre-written messages that you can use to quickly respond to clients. They help ensure consistency in your communications and save time on repetitive messages.

Templates can be used for:

  • SMS messages
  • Email responses
  • Chat replies
  • Campaign messages

Creating a Template

To create a new message template:

  1. Go to Settings → Message Templates
  2. Click Create Template
  3. Enter a name for your template (e.g., "Appointment Reminder")
  4. Write your message content
  5. Add any variables you want to personalize (see below)
  6. Click Save

Using Variables

Variables allow you to personalize templates with client-specific information. When the message is sent, variables are automatically replaced with the actual values.

Available Variables

Variable Description
{{client_name}} The client's full name
{{first_name}} The client's first name
{{case_type}} The type of case
{{case_status}} The current case status
{{company_name}} Your company name
{{company_phone}} Your company phone number

Appointment Reminder Template
Hi {{first_name}},

This is a reminder about your upcoming appointment regarding your {{case_type}} case.

Please let us know if you need to reschedule.

Using Templates

You can use templates in several places:

In Messenger

  1. Open a conversation with a client
  2. Click the Templates icon in the message composer
  3. Select the template you want to use
  4. Review the message (variables will be filled in)
  5. Click Send

In Campaigns

When creating a campaign, you can select a message template to use for all messages in that campaign. This ensures consistency across all your outreach.

Managing Templates

From the Message Templates page, you can:

  • Edit — Update the template content or name
  • Duplicate — Create a copy of an existing template
  • Delete — Remove templates you no longer need

Create templates for your most common responses to save time. You can always customize the message before sending.
