Use this guide if your firm stores documents in Law Ruler and wants those files to appear on the matching case in Kayse.
Law Ruler document sync works as part of the Law Ruler integration. Kayse can:
Make sure your Law Ruler integration is already connected:
Make sure the Law Ruler webhook includes the case types you want Kayse to sync.
For example, if you want documents from Law Ruler Depo cases to appear in Kayse, the Depo case type must be selected in the Law Ruler webhook settings. Kayse needs those cases to sync and match first before it can import their documents.
The case type selector in Kayse under outgoing Law Ruler settings controls Kayse-to-Law-Ruler sync. It does not control which Law Ruler documents are imported into Kayse.
Kayse can only import documents for Law Ruler records that are already matched to Kayse cases. Matching usually comes from the Law Ruler Lead ID that Kayse stores during webhook sync or import.
When Kayse syncs from Law Ruler, it checks matched Law Ruler leads for documents and imports eligible new files into the matching Kayse case.
Kayse imports documents from folders and subfolders. If a document has already been imported, Kayse skips it instead of creating a duplicate.
Imported Law Ruler documents appear with the case's documents and attachments in Kayse. They are linked to the case, not added as Law Ruler notes.
Kayse can import files that are attached to a matched Law Ruler lead, including documents found inside Law Ruler folders.
For each imported document, Kayse keeps:
If Law Ruler does not provide a usable file name, Kayse creates a fallback name based on the Law Ruler document ID.
Law Ruler document sync runs with the regular Law Ruler receive-data sync.
For a first normal sync, Kayse looks back for recent Law Ruler data. After that, Kayse checks from the last successful sync with a small overlap so recently added files are not missed.
If a Kayse case is new or recently updated, Kayse checks all documents on the matched Law Ruler lead. For older Kayse cases, Kayse imports Law Ruler documents with recent document dates.

Inbound document sync is separate from the Send documents to LawRuler setting.
Turn on Send documents to LawRuler when you want files uploaded in Kayse to be sent back to Law Ruler. These files are uploaded through Law Ruler's document upload flow, not added as notes.
If your firm uses a specific destination folder in Law Ruler, enter it in the outbound document folder setting in Kayse. If the folder does not already exist for the lead, Kayse creates it.
Kayse focuses normal sync on recent changes. If the missing files are older historical documents, contact Kayse support for a backfill review.
Confirm Send documents to LawRuler is on. That setting controls Kayse-to-Law-Ruler uploads and is separate from receiving documents from Law Ruler.
