What are Tasks?

Tasks in Kayse serve two purposes:

  • For clients — Things you need clients to complete, like uploading documents or answering questions
  • For your team — Work items that need to be done on a case

Tasks are first created as templates, then assigned to cases through forms. When a task is assigned to a case, it becomes a "Case Task" that can be tracked to completion.

Task Types

Tasks can collect different types of information from clients:

Text Input

Ask clients to type a short or long answer. Great for collecting names, descriptions, or explanations.

Number Input

Collect numeric values like amounts, dates, or counts.

Date Selection

Let clients pick a date from a calendar. Useful for appointments, incident dates, or deadlines.

Yes/No Questions

Simple toggle for binary questions. Perfect for eligibility screening or confirmations.

Dropdown Selection

Let clients choose from a list of options. Good for categorization or multiple-choice questions.

Multiple Selection

Allow clients to select multiple options from a list.

File Upload

Request documents, photos, or other files from clients.

Signature

Collect electronic signatures directly within the form.

Creating Task Templates

Task templates are reusable tasks that can be added to multiple forms:

  1. Go to Settings → Tasks
  2. Click Create Task
  3. Enter a name for the task (e.g., "Upload ID")
  4. Add a description explaining what's needed
  5. Select the task type (text, file upload, etc.)
  6. Configure any additional options
  7. Mark whether it's required or optional
  8. Click Save
💡 Tip

Create clear, specific task names. Instead of "Upload Document," use "Upload Driver's License (Front and Back)."

Task Statuses

Once tasks are assigned to a case, they move through different statuses:

Status What It Means
To Do Task hasn't been started yet
Completed Client has finished the task
Overdue Task is past its due date
Skipped Task was skipped (due to conditional logic)

Viewing Case Tasks

To see tasks for a specific case:

  1. Open the case
  2. Click on the Tasks tab
  3. View all assigned tasks and their completion status

Task Dashboard

To see tasks across all cases:

  1. Go to Tasks in the main navigation
  2. Filter by status, due date, or assigned staff
  3. See which tasks need attention

Sharing Tasks with Clients

Tasks are typically shared with clients through forms (see Forms), but you can also share individual tasks:

  1. Open the case task
  2. Click Share Link
  3. Send the secure link to the client via SMS or email
  4. The client can complete the task without logging in

Conditional Tasks

You can set up tasks to appear only when certain conditions are met. For example:

  • Show "Upload Marriage Certificate" only if the client answered "Yes" to "Are you married?"
  • Show additional questions based on case type
  • Skip irrelevant tasks automatically

Best Practices

  • Be specific — Clear task names reduce confusion for clients
  • Add descriptions — Explain what's needed and why
  • Use the right type — Choose the task type that makes completion easiest
  • Set deadlines — Due dates help keep cases moving
  • Review regularly — Check for overdue tasks and follow up with clients
